Switching from an old POS to a new one without losing your data: a step list
Many stay on a system they are unhappy with for fear of losing data or disrupting service. In truth a planned switch takes a few days with no stoppage. Here are the steps.
Eight steps for a safe switch
Take your time on the first four, they are what protects you:
- Export your data from the old system first: items, prices, customers and past sales, and keep a copy outside the system.
- Check that the new system takes your data or that entering the menu is quick, and ask about import.
- Set up the menu, prices, tax and printers in the new system while the old one keeps running.
- Run the free trial in parallel for days with small real sales or a simulation.
- Train the cashier and manager before switch day, not on it.
- Pick a quiet day to switch, not a busy weekend.
- Keep the old system readable for two weeks for reference.
- Check an e-invoice and a full day close in the first week.
